What other tools should be utilized?

In addition to Day End and Month End reports, Standard Reports from the Accounting Reports Menu and various Queries can provide valuable information while reviewing, reconciling, and evaluating the financial data.  Such standard reports as Special Price List, Contract Pricing Reports, Billing Comparison Report and the Monthly Service Charge Changes provide detailed information relating to charges being assessed to the customer.  Other queries, both before the Month End close and after, also aid in the review or evaluation process.

 

II. WHAT SHOULD BE REVIEWED / ANALYZED AFTER THE BILLING PROCESS, BUT BEFORE ‘MONTH CLOSE’?

A. Various queries Can be run by you prior to Month End close to ensure that all billings were completed.  Examples of such queries would include:

1. Total revenue comparison review for variances (SALE file based upon the post date).  If necessary, by company and / or cycle.

2. Review listing of ‘Unbilled’ dollars.

3. Review Statement Exception List (if set at ‘Y’ in company master) – apply or adjust account where applicable.

 

B. Various Standard Reports provide informative details:

1. Aged Trial Balance – review Unbilled and Unapplied by account.

My ‘MISC’ G/L category seems to be abnormally high – how can I find out what went in to that G/L?           Or

My ‘ROSRV’ revenue seems to be abnormally low – how can I find out what caused the dip in revenue?

Possible reasons:

 A user may change the G/L code of a charge code and affect where the amounts will be allocated

 A user may use the wrong charge code during a Sales/Adjustment or Work Order

 A user may have keyed in the wrong amount while posting a Sales/Adjustment

How to find out the source

 Review the Sales Detail report by Charge code and look for anything suspicious

 Run a Query/ONQ report on the Sales file, looking for that specific GL code and print a detail. You can even limit your Query to credits only, or certain amounts, etc.
